Before You Start — Try This First

  • Confirm the server computer is on and QuickBooks is open on it
  • Check all computers are on the same network
  • Restart your router if recently changed

Step-by-Step Fix

Step 1

Run QuickBooks File Doctor

On the server computer, download QuickBooks Tool Hub → Company File Issues → Run QuickBooks File Doctor → Select your company file → Check your network → Wait for results

Step 2

Check QuickBooks Services

On the server computer: Press Windows + R → Type services.msc → Find 'QuickBooksDBXX' (XX = your version year) → Right click → Start. Also find 'QBCFMonitorService' → Right click → Start

Step 3

Configure Windows Firewall

On the server computer add these as firewall exceptions: QuickBooks Desktop, QuickBooksDBXX service, QBCFMonitorService. Go to: Control Panel → Windows Defender Firewall → Advanced Settings → Inbound Rules → New Rule → Program → Browse to QuickBooks → Allow connection

Step 4

Check Hosting Settings

On the SERVER computer only: QuickBooks → File → Utilities → 'Host Multi-User Access' should be ON. On ALL WORKSTATIONS: QuickBooks → File → Utilities → 'Host Multi-User Access' must be OFF

Step 5

Add Server to Hosts File

On each workstation: Open Notepad as administrator → File → Open → C:\Windows\System32\drivers\etc\hosts → Add a new line: [Server IP Address] [Server Name]. Save and close

Step 6

Ping the Server

On a workstation, open Command Prompt: Type: ping [your server name]. If ping fails your network has a deeper connectivity issue
