Before You Start — Try This First

  • Make sure only ONE person is trying to open the file at a time
  • Fully close and reopen QuickBooks
  • Restart your computer completely

Step-by-Step Fix

Step 1

Update QuickBooks

Go to: Help → Update QuickBooks Desktop → Update Now. Install all available updates and restart QuickBooks.

Step 2

Run QuickBooks File Doctor

Download QuickBooks Tool Hub. Open it → Company File Issues → Run QuickBooks File Doctor → Select your company file → Wait for scan to complete (up to 5 mins)

Step 3

Copy File to Local Drive

If your company file is on a network or shared drive, copy it to your local C: drive. Try opening it from there. This rules out network path issues.

Step 4

Check Folder Permissions

Right click the folder containing your company file →Properties → Security → Confirm your Windows user has Full Control. If not, add it.

Step 5

Disable Hosting on Workstations

On every computer EXCEPT your server: QuickBooks →File → Utilities → If you see 'Host Multi-User Access' click it to turn OFF. Only the main server should host the file.

Step 6

Configure Firewall

Add QuickBooks as an exception: Control Panel → Windows Defender Firewall → Allow an app through firewall → Add QuickBooks Desktop

Step 7

Restore a Backup

If nothing above works: File → Open or Restore Company → Restore a Backup Copy → Choose your most recent backup file
