Step-by-Step Fix

Step 1

Verify Your Service Key

In QuickBooks go to: Employees → Payroll → Enter Service Key → Verify the key matches your Intuit account exactly. Re-enter it if needed.

Step 2

Check Payroll Subscription Status

Go to: Employees → My Payroll Service → Account/Billing Information → Confirm subscription shows as Active

Step 3

Update QuickBooks First

Before updating payroll, update QuickBooks itself: Help → Update QuickBooks Desktop → Update Now → Install all updates → Restart QuickBooks → Then try payroll update again

Step 4

Run as Administrator

Close QuickBooks → Right click icon → Run as Administrator → Employees → Get Payroll Updates → Download Entire Update

Step 5

Rename CPS Folder

Close QuickBooks → Navigate to: C:\ProgramData\Intuit\QuickBooks 20XX\Components\Payroll\CPS. Right click the CPS folder → Rename it to CPS.OLD → Reopen QuickBooks → Try payroll update again

Step 6

Repair QuickBooks Installation

Control Panel → Programs → Programs and Features → Find QuickBooks → Right click → Repair → Follow the repair wizard → Restart computer → Try update again

Step 7

Clean Install QuickBooks

If repair does not work: Uninstall QuickBooks completely using QuickBooks Clean Install Tool → Reinstall fresh → Restore your company file backup → Re-enter payroll service key
